MINUTES OF THE MONTHLY MEETING – 22 October XLVI (2011)

The meeting was held on Saturday, 22 October 2011, in Stockton. The meeting started at 12:40PM and ended at 3:05PM. In attendance at this meeting were: Owen ap Morgan, Matins; Moira O’Connor, Vesper; Gwenhwyfaer ferch Gwilym, Brachet; Astrið of Swansvale, Latimer; Eilis O’Byrne, Baldric; Maxen Dawel ap Morgan, Exchequer; Ana Maria de Acosta, Deputy Exchequer; Caoilinn Rose Maddox, Sable Swan; Vincenzo Saracini, Glora Fjord; and Frederick of Holland, PaL.

COLLEGE OF HERALDS MEETINGS
A meeting will be held on November 20. There is no meeting in December 2011.
The usual Twelfth Night meeting will be held at the hotel at 10AM Sunday morning, January 8, 2012. All senior and branch heralds are expected to attend save those excused by distance and/or prior arrangement.

Time change: As my father has started holding Quaker meetings in our home some Sunday mornings, heraldry meetings will now start at 1:00 PM in order to avoid conflict. Please do not arrive before noon, as the (silent) Quaker meetings will run until then.

Contact Owen for directions. The drive is approximately an hour from Sacramento and an hour and a half from either Berkeley or San Jose via Livermore.

Walk-in submissions are generally permitted but not encouraged, as they do not allow for advance review and prep work.. If you are bringing the paperwork for a submission to a meeting, please plan to arrive by 12:30 PM to allow the file to be pulled or set up. For meetings not held in Stockton (Collegium, 12th Night, etc.) sufficient advance notice to pull any existing file will be required.

This list is open to all those interested in West Kingdom book heraldry: both names and devices, and either to contribute or to ask questions. REPORTS

Moira, Vesper- The SCA Board Meeting is on January 28, which is also Cynagua Winter Investiture. Since Vesper is co-Feast-o-crat for Investiture, she will not be attending the Board Meeting. The Known World Heraldic Symposium is scheduled for the same weekend as June Crown. Last year, Vesper attended Symposium and missed June Crown, so this year, she will attend June Crown.

Aasa, Green Cloak – [By Moira] Green Cloak has now been assumed by Aasa Thorvaldsdottir. She is currently unable to haul the Fried Egg, so it is (temporarily?) living in Moira's van. Due to the shuffle of office, there were problems at October Crown, i.e. the populace was not called to the field to witness Investiture, and there was no herald officiating the Field Investiture. There were also minor problems with voice/flag etiquette, which needs to be addressed through training. We also need outreach to the marshals/fighters/households to listen up for their calls.

Ketiley, Banner- [By Eilis] Banner is trying to stay on top of people regarding timely court reports, but is needing assistance with tools for better communication.

Eilis, Baldric- We need to step up job-specific training, and in that vein, there will be a by-invite only Court Herald training workshop, probably the weekend of GRAB.

Owen, Matins – Note in the latest LOAR Cover letter - Barring period evidence, we will ban registering demons, except demon heads.

Matins is looking at obtaining a flat bed scanner to assist in preparing documentation for submissions. Matins was approved to shop for a "all-in-one".

Matins pointed out that the commentary period for the Rules has expired and Laurel has suggested it will go to a vote at the Board Meeting in January. The comments that were made were rather light-weight and few. Book heralds who have not yet looked at the draft rules should do so - we may be stuck with these soon.

Astrið, Latimer- We had a consultation table at Crown and at Mists Coronet. Crown had a decent turnout, Mists had 2 consultations. We will have a consultation table at Cynaguan Coronet and then it will be March Crown before we have another scheduled table. Latimer is diligently working on downloading electronic consultation resources. The upside of this will be the ability to hold more frequent tables for small events because we won't have to lug the books, plus we won't have to worry about weather as much. The downside is it will take time and electronic resources (read: laptop or notebook) and there won't be as much resources as having the books. Suggestion was made to hold large consultation tables with the books at the largest events, and use the e-resources at smaller attended events or even practices.

East Bay Brachet is currently just Flieg and Astrith but we are mostly caught up and staying on top.

Gwenhwyfaer, Brachet- August letters are done and we are working on September letters. We will shortly be all caught up. Meetings are going well and we have had extra and new people showing up and participating.

Hirsch, Golem- No report.

Gillian, Seawolf – No report.

Caoilinn, Sable Swan – Primary focus is getting everyone but especially sitting royalty, to start the process for names and devices. Suggestion was made by Flieg and Eilis to have the royalty give a 'during court' endorsement, especially since pageantry is becoming a focus of many of the royals. Currently working on devices for Their Highnesses, with much discussion between artistic and period. . Suggestion was made to add gentle reminders that 'artistic detail' can be used in decorative fashion once the device has been passed.

Bianca, Stellanordica – [By e-mail] All going well, I have been busy with Heralding courts for Their Highnesses. Another event this weekend, Eskalya Pirate event.

Still consulting devices for: His Excellancy Dietrich Georgsoon, Canute, Barak the Hunter, and Helen de Avebury. I have just been contact by their Excellancies Kenrick and Dagmar to begin working on theirs.

I have resent the information for Her Highness Trava for submission, and also forwarded the redraws for their devices.

Maxen, exchequer- No report.
