If a branch desires an appearance of the consultation table, it needs to contact me reasonably in advance. Two weeks is an absolute minimum; if the visit requires significant travel (I live in the Sacramento area and consider anything over three hours one-way significant), then two months or more is better.
Appearances can be either of two types:
1. Standard: I show up at an event and set up the table for some
reasonable part of it. The event should be one at which people have a
significant amount of unprogrammed time, since policy is not to run the
table in competition with courts and similar formal proceedings. (The
table does not make regular appearances at coronations or investitures
because so much of the time at these events is taken up by courts.)
2. Workshop: A gathering entirely devoted to heraldry, or part of a more
general educational event. Along with individual consultation, this can
involve classes related to the heraldic submissions process. (I don't do
voice or court training.)
Please do not request an appearance unless you are confident that the table will do enough business to justify the trip. Poor turnout is frustrating, and will be taken into account in evaluating future requests by the group. In support of this, I will not grant more than one special appearance to any group in a single calendar year, and I will be reluctant to make appearances too close together in space and/or time.
Bringing the table to an event involves a certain effort and expense. My budget does not allow for travel outside the California/Nevada area unless that travel is paid for; while it may in some cases be possible to obtain kingdom assistance (contact Vesper), the host group must expect to pay most if not all of the cost. While I will not insist on these as a condition of appearing, offers to cover costs such as gate fees, feast tickets, etc. will be greatly appreciated. For appearances other than at camping events, I may want crash space available.
